2022 Research Infrastructure Workshop

THE IMPACT

The Large Facilities Workshop successfully engaged NSF-funded facility leaders, promoting operational excellence and knowledge sharing across the research community.

Key outcomes included:

  • 179 more attendees than the previous in-person workshop (2019)

  • 90% of attendees downloaded and engaged with the event app

  • 63 PDUs awarded to project management professionals

  • 111 attendees participated in facility tours

  • 91% of attendees rated the venue as “great,” reflecting strong satisfaction with event logistics

 

This solution-focused approach ensured all deliverables were cohesive, accessible, and aligned with NSF’s mission, maximizing impact for both in-person and virtual participants.

THE SOLUTION

To meet project goals for this hybrid workshop, high-impact assets were delivered to create a cohesive, accessible, and professional attendee experience aligned with NSF’s brand standards.

Key deliverables included:

  • Event brand identity & style guide: Visual standards, typography, and color palette

  • Presentation templates: Branded slides for speakers and sessions

  • Event signage: Large-format designs for venue branding and navigation

  • Print collateral: Branded agendas, name badges, and program materials

  • Branded email communications: Outreach and informational campaigns for attendees

  • Event app design: Enhanced attendee experience with agendas, resources, and facility tour details

The Challenge

The Large Facilities Workshop required seamless coordination and professional branding to engage a diverse audience of research infrastructure leaders, many attending both in-person and virtually for the first hybrid execution of this event.

Key challenges included:

  • First hybrid format: Needed designs and logistics to support both physical and virtual experiences

  • High-volume logistics coordination: Travel, venue, and registration management for a large national audience

  • Brand consistency: Visual identity had to align with NSF standards while creating a unique event brand

  • Time-sensitive deliverables: Rapid approvals required for print and digital materials

  • Stakeholder alignment: Coordinating with multiple NSF divisions to ensure cohesive messaging

PROJECT OVERVIEW

The 2022 NSF Large Facilities Workshop was held September 13–16, 2022, in Boulder, CO. Hosted by NSF’s Large Facilities Office, this workshop brought together research infrastructure leaders to advance best practices, share operational strategies, and build community across NSF-funded facilities.

As Creative Director and Senior UX/UI Designer, responsibilities included:

  • Visual branding and creative direction for all workshop materials

  • Design of presentation templates, print collateral, and event signage for a cohesive attendee experience

  • Management of registration workflows, attendee communications, and day-of-event execution

  • Coordination of venue operations, travel arrangements, and facility tours to support seamless logistics

  • Collaboration with stakeholders to align content delivery with NSF’s operational excellence goals

 

All deliverables were cohesive, professional, and aligned with NSF’s mission to support national research infrastructure.
