2025 Safety Officer Workshop

THE IMPACT

Despite the project’s expedited timeline and limited onsite insights, all deliverables were completed on schedule and aligned seamlessly with NSF’s brand standards. The cohesive branding and clear visual assets supported the workshop’s goals of effective information sharing and attendee engagement.

Key outcomes included:

  • Approved brand system within one week, meeting all stakeholder requirements

  • Successful delivery of all materials ahead of the workshop date

  • Positive feedback from NSF stakeholders on the clarity, professionalism, and consistency of materials

  • Enhanced attendee experience, with branded templates and agendas improving information accessibility and event cohesion

This solution-focused approach ensured all deliverables were cohesive, accessible, and aligned with NSF’s mission while maximizing impact within the event’s smaller scope.

THE SOLUTION

To address project goals despite the smaller event scope and limited venue insights, the focus remained on delivering high-impact, essential assets that created a cohesive, accessible, and professional attendee experience while maintaining the event’s brand standards. 

Key deliverables included:

  • Event logo & brand guide: Visual identity, typography, colors, and brand elements

  • Digital pamphlet with agenda: Branded, accessible workshop details

  • WiFi table tents: Clear, branded connectivity info

  • PowerPoint templates: Custom slides for consistent presentations

  • Branded email templates: Streamlined attendee communication

  • Directional welcome signage: Branded poster to greet and guide attendees

The Challenge

The 2025 Safety Officer Workshop, though smaller than national conferences, required the same level of professionalism, brand alignment, and clarity to engage attendees effectively. Hosted at the LIGO facility, the project demanded strategic design decisions within a tight timeline and limited stakeholder communication, with no site visit to inform an extensive signage plan.

Key challenges included:

  • No venue walkthrough: Unable to conduct a site visit for an extensive signage plan

  • Expedited turnaround: Deliverables needed within a compressed production schedule

  • Limited stakeholder availability: Required proactive decision-making with minimal direct feedback

  • Smaller but high-impact deliverables: Fewer assets overall, but each had to effectively reinforce NSF’s safety mission and brand standards

PROJECT OVERVIEW

The 2025 NSF Safety Officer Workshop was held January 14–15, 2025, at the Laser Interferometer Gravitational-Wave Observatory (LIGO) in Livingston, Louisiana. This two-day in-person conference brought together safety professionals from research facilities nationwide to share critical safety practices and updates.

As Creative Director and Senior UX/UI Designer, I led:

  • Visual branding and creative direction for the entire event

  • Branded email communications to engage and inform attendees

  • Presentation templates, conference pamphlet, and agenda for clear and cohesive materials

  • Onsite posters and signage to guide participants effectively

  • Content management for the Research Infrastructure Knowledge Gateway repository, ensuring accurate and timely updates

I ensured all deliverables were cohesive, engaging, and fully accessible to support NSF’s mission and brand standards.
